I helped micro-learning startup Elemeno Health standardize, streamline, and integrate their content review and approval workflow across three management, production, and monitoring platforms to eliminate manual synchronization, reduce process variability, and increase workflow state visibility. Now, both content producers and healthcare clients have clear insight into production status, can provide structured, actionable feedback, and have access to auditable records of approvals for point-of-care clinical resources.

Project Goal

Streamline and Connect the Content Review Process

Elemeno Health provides a point-of-care learning and reference application for clinical care professionals. Their platform delivers hyperlocal, just-in-time content that helps clinicians perform their duties consistently and stay up to date with changes in procedures and policies. To create these resources, Elemeno's content team transforms client-provided source documents into concise, actionable reference materials for specific clinical contexts.

Prior to this project, Elemeno's review and approval workflow relied on the manual coordination of email communications and third-party task management software that operated separately from their content management system and administration platform. This disconnected approach created significant challenges: manual synchronization between systems created extra work and tracking difficulties, process variations among content producers led to inconsistent quality, clients had no visibility into production status, and the approval process lacked formal documentation for audit purposes.

Project Approach

Systematic Integration of People, Process, and Technology

To address Elemeno Health's workflow challenges, I led a collaborative, holistic approach that examined the entire content production lifecycle and identified key integration points across their technology ecosystem. By understanding both the human and technical dimensions of the workflow, together we designed a solution that standardized processes while reducing manual effort.

Project activities included:

  • Content producer interviews to document current practices, pain points, and process variations across the team, revealing inconsistencies in review approaches and manual workarounds.
  • Process modeling to create a formal, shareable understanding of the current state workflow, highlighting bottlenecks, redundancies, and disconnects between systems that required manual intervention.
  • Requirements definition for a revised workflow that connected people, processes, and technology in an intentional, repeatable way while addressing the problems identified in discovery.
  • Detailed workflow design that specified feedback mechanisms, workflow states, and integration points across three platforms: Sanity (CMS), ClickUp (task management), and Elemeno Health's Admin interface and back end.
  • Collaborative development with Elemeno's engineering team to implement the workflow, integrate systems, address edge cases, and iterate as we discovered new constraints and opportunities.
  • Pre-release testing and QA with content team members to validate the workflow against real-world scenarios and refine the implementation based on what we learned.
  • Documentation updates and training sessions to ensure content producers could effectively adopt the new workflow and understand its benefits.

Project Outcome

An Integrated, Visible, and Auditable Workflow

The integration and orchestration of Elemeno Health’s review and approval steps transformed Elemeno Health's content production process from a fragmented, manual system to a connected, transparent workflow. By bridging three previously disconnected platforms, we created a seamless experience for both content producers and Elemeno's healthcare clients.

The integrated workflow now provides:

  • Standardized review processes that ensure consistent quality and feedback across all content resources, regardless of which producer handles the work
  • Automated synchronization between Sanity (CMS), ClickUp (task management), and Elemeno's client-facing Admin interface
  • Real-time visibility for clients and team members into production status, current assignees, and expected completion timelines
  • Structured feedback mechanisms that streamline communication and encourage consistent, actionable comments
  • Formal approval tracking that creates a clear, auditable record of when and by whom a resource was accepted for publication
  • Reduced email communication by coordinating workflow discussions and approvals cleanly across platforms

For Elemeno's content producers, this means less time spent on administrative tasks, clearer direction on revisions, and a more predictable production process. For Elemeno’s healthcare clients, it means greater transparency into resource development, easier ways to provide feedback, and a more efficient path to the creation of critical point-of-care reference materials. Together, these benefits help Elemeno scale their content operations more effectively and better support their mission of providing timely, accurate clinical resources to frontline caregivers.
